The Short Version

  • Cyber insurance applications now ask detailed questions about your security controls, and your answers help set your eligibility, coverage, and premium.
  • The same short list of controls shows up on almost every application: multi-factor authentication, endpoint detection and response, protected backups, patching, email security, training, and an incident response plan.
  • Answer accurately. An answer that doesn’t match reality can create problems when you file a claim.
  • Start 60 to 90 days before renewal so there is time to close gaps rather than explain them.

Who this guide is for

Business owners, office managers, and finance leads who receive the renewal questionnaire and have to answer it — often without an IT person who owns security.

The Controls Carriers Ask About Most

ControlWhat a solid “yes” looks like
Multi-factor authentication (MFA)Enforced for email, remote access (VPN, remote desktop), cloud apps, administrator accounts, and backup consoles — for every user, not just most.
Endpoint detection and response (EDR)EDR, not just antivirus, on every workstation and server, with someone watching and responding to alerts.
BackupsRegular backups of critical systems and Microsoft 365, kept separate from your network (offline or immutable), and restore-tested on a schedule.
PatchingOperating systems and key applications updated on a defined schedule, with critical fixes applied quickly and no unsupported systems left in place.
Email securityFiltering for phishing and malicious attachments, plus email authentication records (SPF, DKIM, DMARC) for your domain.
Security awareness trainingRegular training and phishing simulations for all staff, with completion tracked.
Privileged accessSeparate administrator accounts, used only for admin work, and a short list of who holds them.
Incident response planA written plan that names who does what and who to call — including your carrier’s breach hotline — tested at least annually.
Vendor accessKnow which vendors can reach your systems, require MFA for them, and remove access you no longer need.

How to Answer Accurately

  1. Read each question literally. “MFA for all remote access” means every path in, not most of them.
  2. Gather evidence first — MFA enrollment reports, EDR coverage, backup and restore logs, training records.
  3. Where the answer is “partly,” say so and add a note with your completion date. Brokers and underwriters generally prefer a clear plan to a hopeful “yes.”
  4. Keep a copy of the submitted application and the evidence behind each answer.
  5. Revisit after changes — a new office, system, or vendor can change your answers mid-term.

A 90-Day Renewal Plan

Day 90

Review

Pull last year’s application and compare each answer with how things work today.

Day 75

Assess

Check MFA coverage, EDR, backups, patching, and email security against the table above.

Day 60

Fix

Close the quick gaps — MFA on remaining accounts, backup isolation, admin account cleanup.

Day 30

Document

Collect evidence and update your incident response plan with your carrier’s contacts.

Day 15

Submit

Answer the questionnaire with your broker, with notes and dates for anything still in progress.

Common Questions

Will better controls lower our premium?

Pricing depends on many factors, but missing core controls such as MFA and EDR commonly lead to higher premiums, exclusions, or declined coverage.

Our IT provider says we have MFA. Is that enough?

Ask for a report showing which accounts and systems are covered. Gaps on remote access, admin, or backup accounts are common and are exactly what the questions ask about.

Can AIT fill out the application for us?

You sign the application, so the answers must be yours. We review your environment, gather the evidence, close gaps, and go through the questions with you and your broker.
